File Upload Notifications (All)

Previously file upload notifications were sent for every file uploaded to the SMPTE Standards Knowledge Network (SKN). This resulted in a large number of emails which cluttered up inboxes and made it hard to see important emails. These old file upload notifications are being replaced with a new system which enables users to make a choice if they want to send an upload notification or not. It also enables users to add a comment to the file upload notification. 

  • Once a file is uploaded to a channel of a team (or in SharePoint) an adaptive card will be triggered as a chat message to the person who uploaded the file. 

  • There is a delay of up to a minute between when the file is uploaded and when the chat message is received. The card sender is called “Flow”.

Please note, the chat message can only be received via the chat function in Teams and users who are uploading files to Microsoft Teams or SharePoint should monitor the Microsoft Teams chat.


  • The adaptive card will wait for a response from the uploader if a notification should be sent or not. It contains various information and input fields:
  1. The name of the document uploaded
  2. A check box to signal if a notification should be sent
  3. A text field to enter a comment which will appear on the notification
  4. A submit button to submit any input
  5. A cancel button to signal that no notification shall be send

  • The adaptive card will be updated once a response is submitted.

  • A notification email will be sent if the responder selected the check box for a notification.

The notification email contains

  • The group/team to which the file was uploaded to
  • The file name
  • The file location as team channel and folder information
  • The name of the person who created/uploaded the file
  • The comment entered on the adaptive card as discussed previously
  • A persistent SharePoint link to the document uploaded

This notification system may be rolled out to all Once the testing in the Standards Committee was successful.
