    Group Document Folder Structure

    During the creation of the SMPTE OLC Backups all empty folders were removed. Some of those lost empty folders were re-created following SMPTE’s proposed guidelines for groups folders. While originally meant for the SMPTE KAVI system they will be used for the SMPTE SKN as well. SMPTE HQ will follow these guidelines when new groups/teams are created. The guidelines are repeated below:

    Technology Committee folders

    • Drop Box - location for all members to drop incoming documents
      • Member needs to notify Chairs that the document is there
      • Open to all members for posting
    • Meeting Documents – head folder for meetings
      • Subfolders for each meeting [Date[1] – Location]
        • Contains documents and also pointers to all information in other folders that will be discussed at the next meeting
        • Chairs can create sub-sub folders if desired
      • Open only to Chairs for posting
    • Administration – agenda, draft minutes, dial-in info, etc. unrelated to documents.
      • Chair can organize sub-folders if desired
      • Only open to Chairs for posting
    • Ballot Documents – all documents in ballot or prepared/packaged for ballot.
      • SMPTE SKN title to be listed by document number first – [Doc#[2] Title Date]
      • Open to Chairs and Document Editors to post zip file containing document/WS/spreadsheet going to ballot
    • Working Draft Documents – all documents that have come out of the WG or AHG for 2-week comment but are not yet in final form for ballot.
      • Listed by document number first – [Doc# Title Date]. If no document number assigned yet, then put “XXX” before title and date.
      • Only open to Chairs for posting
    • Reference Information – presentations, liaisons, etc.
      • Chair can organize sub-folders if desired.
      • Only open to Chairs for posting
    • Approved Work Statements – all work statements approved by both ST and TC.
      • SMPTE SKN title as [Parent Comm #][AHG/SG/WG][Short Title].
      • Only open to Chairs and SVP for posting
    • Minutes Archive – all approved, final minutes of previous meetings

    SMPTE SKN title listed by date first – [Date1– Location].

     

    [1] Date = [yyyy-mm-dd] following the ISO protocol.

    [2] Doc# = [A][xxx-x] where A= S, RP, EG, RDD

    Working Group folders

    Same permissions and definitions as TC folders, except as noted – no “Ballot Documents” folder. Chair can set document permission to SHARE with parent committee when appropriate.

    • Working Draft Documents – all documents being drafted or that have come out of an AHG for review by the WG.
      • Only open to Chairs for posting
      • Listed by document number first – [Doc# Title Date]. If no document number assigned yet, then put “XXX” before title and date.
